Instructions for Authors



The abstracts accepted for EQUIFASE 2009 will be published in the Book of Abstracts and the full papers will be published in the Conference CD. Both will be distributed at registration to all participants. The authors are kindly requested to follow the guidelines for abstracts and papers submission. These guidelines can be viewed below or can be downloaded in PDF format.
Abstracts and full papers must be submitted in English.

One-Page Abstracts Submission

Abstracts of one A4 page must be submitted online not later than March 20th using the EQUIFASE OpenConf Conference Management System, based on the following workflow:

  • Access the EQUIFASE OpenConf Conference Management System
  • Follow the submission steps:
    • • Select "Make a Submission" - Please review the entire form before starting to fill it out to ensure you have all the required information
    • • Insert title
    • • PhD students that wish to apply for the poster award must select that option; This information will be only taken into account if, after evaluation by the Scientific Committee, the work is selected for a poster presentation.
    • • Insert authors information
    • • Select Technical areas (authors should indicate the topic that best suits their paper; this topic will be used to categorize the abstract in the most appropriate session)
    • • Insert keywords
    • • Insert plain abstract (optional)
    • • Enter a password (this password, along with the paper ID, which authors will receive via email upon submission, will allow to make future changes to the submission, upload the abstract file and later to submit the full paper)
    • • CAPTCHA Check: Fill the two security words (database spamming prevention)
    • • Double check all information and click "Make Submission"

Afterwards, authors must upload the abstract file, either in Word or PDF format:

    • • Select "Upload Abstract"
    • • Insert Paper ID
    • • Insert password
    • • Select the file
    • • Select the corresponding file format
    • • Click "Upload File"

Emailed and faxed abstracts, or abstracts not submitted in the proper format, will be rejected*.

Full Papers Submission

The deadline to submit the full text papers (4-6 max A4 pages) for publication in the Conference CD is July 15th. The papers must also be submitted using the EQUIFASE OpenConf Conference Management System:

    • • Select "Upload Full Paper"
    • • Insert Paper ID
    • • Insert password
    • • Select the file
    • • Select the corresponding file format
    • • Click "Upload Full Paper"

Emailed and faxed papers, or papers not submitted in the proper format, will be rejected*.

Selected papers will be published after peer-reviewed in a special issue of Fluid Phase Equilibria. The authors will be invited to submit their works during the Conference.

* - Please note: if you experience some difficulty using OpenConf please e-mail the chair to provide the best solution for your problem.

Layout and Typesetting of Abstracts and Papers

  • • The text (including tables and figures) should be typeset on A4, left and top margins 3 cm, bottom and right margins 2 cm.
  • • Text is to be single-spaced, both left and right-justified.
  • • The title should be in 16-point, bold type and centered. Leave one blank line below the title. The authors´ names should be in 12-point, bold type and centered on the page.
  • • Give authors' affiliation and address in regular type centered (11-point). Use superscripts 1,2 … for different locations. Leave one blank line below the addresses.
  • • Keywords: in regular type, left justified. Leave two blank lines below the keywords.
  • • The text should be provided in 11-point Arial font.
  • • Superscripts and subscripts should be at least 8 points in size, clearly visible and identifiable.
  • • Left justify all headings.
  • • Separate paragraphs by 5 point spacing. Do not indent the beginning of the paragraph.
  • • Main headings should be in bold type (e.g. Materials and methods); text should follow on the next line.
  • • Authors are encouraged to choose colors and/or patterns in such way that a black and white print of the figures and legends is as understandable as the color version, and that no information is lost in the process. Also, in the text, elements of the figure should not be referred by their color.
  • • References: indicate references by number(s) in square brackets in line with the text. Although it is possible to refer the name of the authors, the reference number(s) must always be given.

    • Example: "... as demonstrated [3,6]. Barnaby and Jones [8] obtained a different result ...".

    In the list of references, number the references (numbers in square brackets) in the order in which they appear in the text.

Posters

  • • The recommended poster format is A0 (841mm Width × 1189mm Height). Please employ the suggested size so it fits to the boards properly.
  • • The poster authors are kindly requested to place the poster during the morning of the session at which they will be presented.
    The posters must be removed just after the poster session finishes.
  • • The presenting author must be close to it during the session, for discussion with interested participants.
  • • Any special request regarding the poster sessions must be addressed in advance to EQUIFASE team.
